Catering Terms

These Catering Terms & Conditions apply to all catering orders placed with Gallio, operated by Edesia Restaurants Limited (“Gallio”, “we”, “our” or “us”). By confirming a catering order, you agree to the terms below.


Quotes & Bookings

All catering quotations are valid for 30 days from the date issued unless otherwise stated.

Your booking is confirmed once we have received written confirmation and any required payment or deposit.

Prices and availability may change after the quotation validity period.


Payment

Unless otherwise agreed in writing:

  • Full payment is required before the event to confirm your booking.
  • Where payment after the event has been agreed, invoices are payable within 14 days of the invoice date.
  • We reserve the right to request full payment before delivery for first-time or high-value orders.

Late payments may incur interest and administration charges in accordance with the Late Payment of Commercial Debts (Interest) Act 1998, together with any reasonable costs incurred in recovering outstanding balances.


Changes to Your Order

We understand that plans can change.

Any amendments to guest numbers, menus, delivery times or event details should be made in writing as early as possible.

Where possible, we will accommodate changes, however:

  • significant changes requested within 7 days of the event cannot be guaranteed
  • additional charges may apply for increases in guest numbers or last-minute amendments
  • reductions in guest numbers may not reduce the final charge once food has been ordered or prepared.

Dietary Requirements & Allergens

Please notify us of any dietary requirements or food allergies at least 7 days before your event.

Whilst we take great care when preparing food and follow strict food safety procedures, our kitchens handle a wide range of ingredients and we cannot guarantee an allergen-free environment.

Detailed allergen information is available upon request.


Delivery & Collection

Delivery charges may apply depending on the location and order size.

The client is responsible for ensuring:

  • suitable access for delivery vehicles
  • someone is available to receive the order at the agreed time
  • any venue-specific access requirements are communicated in advance.

Delivery times are estimated, and whilst we always aim to arrive on schedule, delays caused by traffic, road closures or circumstances beyond our control cannot always be avoided.


Food Safety

Food is prepared, transported and handled in accordance with UK food safety regulations.

Once food has been delivered or served, responsibility passes to the client.

For food safety reasons:

  • hot food should be consumed promptly
  • chilled food should be refrigerated where appropriate
  • food should not be consumed outside recommended time limits.

Gallio accepts no responsibility for food quality or safety once products have been incorrectly stored, reheated or handled after delivery.


Equipment

Where serving equipment, platters, chafing dishes or other catering equipment is supplied by Gallio, these items remain our property unless otherwise agreed.

The client is responsible for any loss, theft or damage while the equipment is in their possession.

Replacement or repair costs may be charged where necessary.


Cancellations

All cancellations must be made in writing.

Cancellation charges are as follows:

  • More than 3 days before the event – full refund of payments made, less any agreed administration or non-recoverable costs.
  • Within 3 days of the event – no refund.
  • Reductions in guest numbers within 7 days of the event may still be charged in full where food has already been purchased or prepared.

Where bespoke products have been ordered specifically for your event, these costs may remain payable even if the booking is cancelled.


Liability

Gallio’s liability is limited to the total value of the catering order.

We shall not be liable for indirect or consequential losses, including loss of profits, business interruption or loss of opportunity.

Nothing within these terms limits any liability that cannot legally be excluded.


Force Majeure

Gallio shall not be liable for delays or failure to perform its obligations where caused by circumstances beyond our reasonable control, including severe weather, road closures, industrial action, utility failures, government restrictions or other unforeseen events.

Where possible, we will work with you to rearrange your catering order or agree an alternative solution.


Photography

From time to time, Gallio may photograph catered events or food displays for promotional purposes.

If you would prefer your event not to be photographed, please let us know before the event.


Governing Law

These Catering Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
